This explains what personal information Which Day Is Best? collects, why, and what you can do about it. We've tried to write it in plain English rather than legal boilerplate, because that's more useful to you than either would be alone.
Which Day Is Best? is run by Artisan Intermedia CIC, based in the United Kingdom. We are the controller of the personal data described in this policy, and UK data protection law - the UK GDPR and the Data Protection Act 2018 - is the primary framework governing how we handle it. The broader international principles referenced elsewhere in this policy reflect a good-faith effort to align with other major privacy laws too, for anyone using the service from outside the UK.
If you have questions about this policy, your data, or want to raise a complaint about how it's been handled, use the Contact / Feedback page. Under the UK's Data (Use and Access) Act 2025, we'll acknowledge any data protection complaint within 30 days and investigate and respond without undue delay, letting you know the outcome. If you're not satisfied with how we've handled it, or want to raise it independently, you also have the right to complain to the UK's data protection regulator, the Information Commissioner's Office (ICO).
When you create an account, we collect:
When you use the app, we also store what you enter into it directly: event names and details you create, and the availability you mark against events. This is the actual point of the service, not incidental data collection - we don't collect anything beyond what's needed to run it.
We don't use analytics trackers, advertising pixels, or third-party cookies. We don't sell, rent, or share your information with advertisers, data brokers, or marketing companies - there aren't any involved in running this app. The only cookie this site sets is a single session cookie that keeps you logged in; it doesn't track you anywhere else, and no data is used to build an advertising profile of you.
We use your name and email because doing so is necessary to provide the service you've signed up for - there's no separate marketing use that would need its own consent. If you're in the UK or EU, this falls under "performance of a contract" and our legitimate interest in running the service reliably. If you're elsewhere, the same principle applies: we only use your data for the purpose you gave it to us for.
Your name and email are used only to:
That's the complete list. We don't use your name or email for anything beyond this - no marketing lists, no unrelated products, no profiling, nothing sold on to anyone.
Your data lives in one database, on our own web hosting infrastructure, and is used only by this application. Nobody else has access to it for their own purposes.
In the interest of being fully transparent: our web hosting provider physically stores that database on our behalf as part of providing hosting services, and outgoing emails are sent through that same hosting provider's mail service - not through a separate third-party marketing or email platform. This is standard for how any website runs, and neither party uses your data for anything of their own; they simply store and transmit it for us. Nothing is copied to, or stored in, any analytics platform, CRM, or marketing tool.
Our servers are located in the United Kingdom. If your group ever includes members outside the UK, using the service still means your data is stored here - the same as it would be for any website you use that's hosted in a different country to you.
Other members of your group can see your name (and, if you're made Co-Host of an event, that role) and the availability you've marked on events you're both part of. Your email address is not shown to other members anywhere in the app - only the Host can see the group's email addresses, in order to manage the group and its events.
We keep your account for as long as it exists, and no longer than that. You can permanently delete your own data at any time, yourself, with no need to contact us or wait for a response - the "Delete Account" button in the "Edit Account" section does this immediately: it removes your name, email, login, and any availability you've marked, straight away and permanently. Events you created or were made Co-Host of stay in the group's records but are no longer linked to your name.
Being removed from a group by its Host is different from deleting your account - your login still exists afterward, in case you're invited back, but you no longer appear in that group.
Wherever you are, you have meaningful control over your own data in this app, without needing to ask us first:
This covers the core rights recognised under most privacy laws - including the right to access, rectify, and erase your data under UK/EU GDPR, and the right to know and delete your data under US state laws like California's CCPA/CPRA. If you'd like a copy of your data in another form, have a question these self-service tools don't cover, or want to raise anything else about how your data is handled, get in touch via the Contact / Feedback page and we'll respond as promptly as we can.
Passwords are hashed, not stored as plain text. The site is served over HTTPS, and access to the underlying database is restricted to the application itself. No system is perfectly secure, but we don't collect more than we need specifically to keep the risk of anything going wrong as small as possible.
This service isn't directed at children, and we don't knowingly collect information from anyone under 16.
If this policy changes in any meaningful way, we'll update the date at the top of this page.
For anything about this policy or your data, use the Contact / Feedback page.
